Filing status for a new client appears after the next portal refresh.

Monthly GST data reminder

Every client on the desk gets one email from ca@navdeepjindal.com asking for last month's GST data. Clients with the firm's own email, or with the reminder switched off, are skipped.

To stop them for one client only, open that client (Edit) and untick the follow-up box.

When the government extends the GSTR-3B due date, enter it here – one line per month ("quarterly" for QRMP suppliers, with the quarter's last month). The suppliers' GSTR-3B check then waits till that date before showing "Not filed".

Upload official return copy

Upload the PDF downloaded from the GST portal after filing. It appears on the client's page under "Return copies" (as Official PDF) and is saved to OneDrive. Uploading again replaces the earlier copy.

Nil returns – 2 periods in a row

Clients whose last two returns were nil (last two months, or last two quarters for QRMP). Decide and file this one early. Nil months come from the GSTR-3B copies of clients connected to the GST portal; staff can also mark a month on the client's page.

GST notices – from the GST portal

Connected clients are checked every day at 12 noon (and right after a new OTP). New notices are emailed to ca@navdeepjindal.com.

GST portal connection

Database backup to OneDrive

Saves the whole desk database – GST, PT and TDS desks, notices, builder data, every table – every night at 9 PM, in two places: OneDrive (GST Data › _Database backup, Excel you can open + JSON for a full restore) and Cloudflare storage (last 35 days). A safety copy is also taken before every update of the desk. If a backup fails, a note goes to ca@navdeepjindal.com. Passwords, sign-in codes and client links are never put in a backup.

GST portal usernames

The username is needed to ask the GST portal for the client's OTP (for the GSTR-2B download). Type it against the client, or paste two columns from Excel (GSTIN and Username) in the box below. Only the desk admin can change these.

Builder project data

The same data the builder sees on their client page. The builder uploads the flat list; we check it and approve it (Projects tab), after which it can't be changed. If they need to add or change flats they send a request – the NJA admin opens the list (“Open for editing”) and we approve it again. Earlier months stay closed for the builder; here we can correct them, set a unit's GST rate, and move a customer to another flat (Customer accounts → statement → Change flat).

GSTR-3B working

Excel

Prepared from the builder's sales register (receipts) and purchase register. Nothing is filed – compare it with your working; the month shows “Ready” only when no check is red.
